Lánluas assists clients in improving their enterprise systems by optimising intelligent business planning, budgeting and forecasting, accounts payable and process automation, and cloud migration by providing process improvement, enterprise system implementation and business-as-usual support services.
In 2021, Lánluas was engaged by the City of Yarra Council. The first scope was to assist the Statutory Planning department in re-design their workflows and integrating them with Content Manager, setting up online tracking through TechnologyOne eServices and finalising online payments. The second scope was to provide ongoing support for the same department. The third scope was to design a centralised online portal and integrated system for business enquiries to Council to improve customer experience, provide more efficient and transparent ways of working, and, in turn, reduce the time and cost for small businesses’ lodging permit applications across multiple departments within Council. The Victorian State Government funded the third scope through the Department of Treasury & Finance to assist enterprises in recovering post-COVID. These systems help businesses to launch or expand without unnecessary time delays caused by inefficient and outdated processes and ways of working.
An existing challenge was that businesses seeking a Council permit needed to navigate multiple application processes which are not integrated. Lánluas has been working closely with Council to scope, design, build and develop internal streamlined processes that create efficiencies, align business units, and improve consistency, automation, compliance and visibility as permit applications filter through each department, ultimately reducing processing times for Council. Lánluas has played an integral role in staff training and upskilling across several Council departments, including the Digital and Transformation Team.
This initiative provides customers with an online portal to submit, update and track applications, receive permit reminder notifications and make payments, enabling a self-service capacity while increasing timeline transparency for businesses. A clear outline of processes on the website helps reduce business confusion and improves the quality of their applications and engagement with the Council. It enables companies to set up quicker, as they only need to use one system to lodge their application(s) to Council.
These internal and external efficiencies have decreased the overall time it takes Council to respond to business enquiries and approvals, which has helped reduce the delays for businesses awaiting advice and approval. Ultimately, the application process and processing times for planning permits have been reduced by one quarter. Council hopes this will help local businesses launch and grow quicker and boost the local economy in the City of Yarra.
