Yellow Hat Consulting is a strategic design and facilitation firm specialising in solving complex problems through collaborative design approaches to drive change. In partnership with the Defence AI Research Network (DAIRnet), Yellow Hat led the Practical Approaches to Responsible AI initiative—an ambitious, co-designed effort to explore the unique risks of artificial intelligence and develop consistent mechanisms for its responsible use across Defence.

Recognising the growing importance of AI in Defence operations, Yellow Hat worked closely with a sponsor team of eight senior Defence leaders to shape the initiative, align stakeholders, and ensure strategic relevance. The initiative culminated in a two-day co-design session involving 47 participants from the Defence, industry, and academia sectors. Using MG Taylor methodology and design thinking techniques, participants explored the internal and external AI landscape, heard from 16 expert speakers, and collaborated to develop practical solutions.

The session environment was intentionally designed to foster creativity and collaboration, with flexible workspaces, interactive tools, and inclusive facilitation. A Catchbox microphone supported dynamic conversations across in-person and remote participants, while visual materials and scenario testing helped participants engage deeply with the content.

The initiative produced 11 actionable recommendations, all of which were formally approved by the Defence AI Board—demonstrating strong endorsement and strategic alignment. These recommendations are now guiding Defence’s approach to AI governance, capability development, and ethical implementation.

Beyond the immediate outputs, the initiative delivered significant value: improved knowledge and confidence among staff, stronger cross-sector relationships, and a cultural shift toward proactive and responsible AI engagement. It also laid the foundation for long-term efficiencies, risk reduction, and interoperability with international partners.

Yellow Hat Consulting’s approach combined strategic leadership, inclusive design, and deep collaboration to deliver a successful, high-impact initiative. The outcomes continue to shape Defence’s AI strategy and serve as a model for how large organisations can responsibly navigate emerging technologies.
